What working with us actually looks like
Most organisations that hire us have never hired a facilitator before. They know what they need — a blocked decision unblocked, an adoption stall resolved, a cross-functional team unstuck — but not what to expect from the process. This page answers that.
Before we start: five conditions that make this work
We turn down engagements that lack these conditions — not to be difficult, but because without them the session produces an outcome that will not hold. We will check for these in the discovery call.
Leadership is genuinely open to being influenced
If the decision has already been made and you need people to agree with it, this is not the right tool. Facilitation produces real alignment — which means leadership has to be willing to hear something unexpected and change course if the group's reasoning is sound.
The right people can be in the room
The people who know why it is not working and the people with the authority to fix it both need to attend. If key voices are absent, the session produces a partial solution that the absent stakeholders will work around.
A real decision is at stake
We design sessions around a concrete outcome — a decision made, a blocker resolved, a plan built. Workshops without a specific outcome produce energy but not action. We will help you define the outcome before we begin.
Someone with authority to decide is in the room
The session must include someone who can commit — not just recommend. If the actual decision-maker is absent, the session produces a recommendation that gets relitigated upstairs. We will confirm this before we design anything.
The challenge is genuinely complex
We need a situation where different people hold different parts of the answer — and where thinking together will produce something better than any individual could reach alone. If the answer is already obvious to everyone in the room, facilitation adds no value. If it is genuinely hard, this is where structured methods pay off.
The engagement from first call to final output
Discovery call — 30 minutes
You tell us what is happening. We ask questions. We listen. At the end, we tell you honestly whether we think structured facilitation is the right tool for your situation — and if it is not, we will say so and suggest what might work better.
What you need to bring: a description of the challenge and who is involved. Nothing else.
Scoping — 1 week
If the discovery call confirms a fit, we talk to 3–5 key people before we design anything. We learn what is actually blocking things — not just what appears on the agenda. We verify the preconditions and confirm who needs to be in the room.
What you need to arrange: 30-minute conversations with the right people.
Proposal — clear scope, fixed price
You receive a written proposal: what we will do, who needs to attend, how many sessions, what you will have at the end, and the price. Fixed scope, fixed price — no hourly billing, no open-ended retainers. We do not start without your agreement on the full picture.
What you need to decide: whether the scope and investment make sense for the problem you are solving.
Session design — 1–2 weeks before the session
We design the session from scratch for your specific challenge. No templates. The methods are chosen to fit your group, your culture, and the outcome you need. We share the design with you before the session so there are no surprises.
What you need to arrange: the venue or virtual platform, and confirmed attendance from the right participants.
Facilitation — the session itself
We run the session. Every voice contributes — including the ones that usually stay quiet. We hold the process, not the content. The group builds the solution. We make sure nobody hides and nothing gets left unspoken.
What you need to do: show up and engage honestly. That is all.
Capture — before anyone leaves
Decisions, actions, owners, and any unresolved concerns — documented during the session. You receive a written summary the same day. No ambiguity about what was agreed or who is responsible for what.
What you get: a clear, actionable record of the session outputs.
What a typical timeline looks like
Discovery & scoping
Discovery call, stakeholder conversations, proposal.
Design
Session design, participant preparation, logistics confirmed.
Facilitation
The session. Same-day documented output.
Follow-up
For multi-session programs: second session with the documented first session as input.
From first call to facilitated session: typically 2–4 weeks for a single session, 6–10 weeks for a multi-session program. Depends on scheduling, group size, and complexity of the challenge.
What you get at the end
A decision that holds
Built by the people who have to implement it — not handed down to them. Decisions made this way do not get relitigated in the next meeting.
Documented outputs
Written record of decisions, actions, owners, and timeline. Useful for governance, for project tracking, and for anyone who was not in the room.
Unspoken concerns on the table
The concerns that would have surfaced as passive resistance three months later get addressed during the session. You leave with the real picture.
A team that knows how to do this
We transfer the facilitation skills to your team as we go. You will not need us for every session.
Ready to find out if this fits your situation?
The cost of a discovery call is 30 minutes. The cost of waiting is another round of the same meeting. We ask questions, listen, and tell you honestly whether we are the right fit. If we are not, we will say so.
